This page explains what Shortlist Wedding collects about you, why, who sees it, and how to ask us to change or delete it. We have tried to write it so that anyone planning a wedding can read it in a few minutes.

The short version

  • We collect what you type into our enquiry form and our wedding planner: your name, your email, and any phone number, date, budget or message you choose to add.
  • We pass your enquiry to vendors only after you tick the box that says we can. The box is never ticked for you.
  • We use your contact details to reply to you about your enquiry, and to send up to two short follow-ups about it.
  • We do not sell your details to advertisers or data brokers.
  • To get a copy of your details, or to have them deleted, email hello@shortlist.wedding.

1. Who we are

Shortlist Wedding (shortlist.wedding) is run by The Twenty Three MC Ltd, a company registered in England and Wales, company number 15612993. When this page says "we" or "us", that is who it means. We are responsible for the details you give us on this site.

2. What we collect, and why

The enquiry form
It appears on vendor pages, directory and city pages, cost guides, stories and articles, and on the Get proposals page. We ask for your name and email, and you can add a phone number, an event date, a budget and a message. We also record the page you sent it from and, if you were looking at one vendor, which vendor. We use this to pass your enquiry on to vendors and to reply to you.
The wedding planner
The planner asks for your city, whether to include nearby cities, your date, your guest count, your total budget, the services you need and your style. The last step asks for your name and email, and a phone number if you want to add one. We use your answers to show you matching vendors, to pass your brief on to vendors, and to reply to you.
While you use the planner
As you move through the steps, we save your answers on our server under a random code. At that point we do not have your name or email. We also save the page you came from and your browser type. We use this to show your results and to see where people stop. If you finish, that record is linked to your enquiry. Your own browser also keeps your answers on your device, including a name and email you have typed, so you can come back later. That copy is cleared when you send the planner. If you do not finish, it stays until you clear your browser data.
Proof that you agreed
When you send an enquiry, we record the time you ticked the box and which version of this page was live. We keep that as proof of what you agreed to.
Emails to you
We email you a confirmation when you send an enquiry. If we have not yet updated your enquiry about three days later, and again about seven days later, we may send you one short follow-up each time. The second one says there will be no more unless you reply.

3. Who receives your details

Vendors. If you tick the box, we pass your enquiry (your name, your email, your phone number if you gave one, and your date, budget and message) to the vendors you chose or that match what you asked for. A person on our team looks at each enquiry and decides who it goes to. From then on those vendors decide how to use what you sent them, so it is worth reading their own privacy information too.

Some vendors are connected to us. For example, Make It Real Production is our in-house studio and is featured on videographer pages.

The companies that help us run the site. They handle your details for us, and only for that purpose:

  • Supabase hosts our database, which is where enquiries are stored. Our database is in the EU, in Frankfurt, Germany.
  • Vercel hosts the website and runs the code behind the forms.
  • Resend sends our emails: the confirmation to you and the notice of each new enquiry to our team.
  • Telegram carries an internal message. When an enquiry arrives, a message with its details goes to a private team chat so we can answer quickly.
  • Ahrefs provides website analytics, described below.

Some of these companies may handle data outside the UK and the EU. We do not sell your details to advertisers or data brokers.

4. Cookies, counting visitors and analytics

We do not set cookies for visitors to this site. The only cookies are sign-in cookies for vendors and our team, when they log in. We do not use Google Analytics, advertising pixels or tools that record your screen.

Our own visit counter
To count real people rather than robots, the site runs a small counter of its own. It counts visits without cookies, and nothing is stored on your device. It does not store your IP address. For each visit it works out a code from your IP address, your browser details and today's date, using a secret key. The code changes every day, so we cannot follow you from one day to the next, and it cannot be turned back into your IP address. We store that code with the page you arrived on, your country (as reported by our host), whether you use a phone, a tablet or a computer, roughly how you arrived (for example from a search engine), and your screen width. We use it only to count real visitors.
Ahrefs Web Analytics
The site also loads a script from Ahrefs, another company. It records which pages are viewed, the page title, the page you came from, your browser language, your screen size, and when you click a link or submit a form. It does not use cookies and keeps nothing on your device. Like any service your browser connects to, Ahrefs receives your IP address when your browser loads the script. Ahrefs' own privacy information explains what it does with that.
Our host
Like any website, the company that hosts ours handles your IP address and the page you ask for whenever it serves you a page.

5. How long we keep your details

We do not delete enquiries automatically after a set time. We keep your enquiry, and the planner answers that go with it, until you ask us to delete them. Planner answers that were never sent as an enquiry carry no name or email, and are also kept. We have not set a fixed period for either.

The visit counter records hold no name, no email and no IP address. We have not set a deletion date for them either.

6. Your choices

You can email us at any time to:

  • ask what we hold about you and get a copy;
  • correct anything that is wrong;
  • have your details deleted;
  • take back your agreement to us passing your enquiry on or contacting you, and stop the follow-up emails.

Write to hello@shortlist.wedding from the email address you used on the form, so we can find your enquiry. If we have already passed your enquiry to a vendor, that vendor has its own copy, so ask them as well.

If you are not happy with how we handled your details, you can complain to the data protection regulator in your country. In the UK that is the Information Commissioner's Office, at ico.org.uk.

7. If you are a vendor

This page is mainly for couples and other visitors. If you ask us to remove a listing from a vendor page, we keep the name, email and reason you give, only to deal with your request. To limit abuse, the removal form and the vendor search on the For vendors page keep a one-way code made from your IP address, with a count of how often it has been used. Vendor accounts have their own sign-up page with its own terms.

8. Children

Shortlist Wedding is for adults planning a wedding. It is not aimed at children, and we do not knowingly collect their details. If you think a child has sent us details, email hello@shortlist.wedding and we will delete them.

9. Changes to this page

When what we do with your details changes, we change this page and update the date and version at the top. Each enquiry stores the version that was live when it was sent.
